Party /Event Hire Booking Policy

1. About this Policy
This Party Booking Policy applies to all birthday parties, private parties, exclusive hire, and event hire bookings made with Party & Play.
By making a booking, you confirm that you have read and accepted this Party Booking Policy together with our Terms and Conditions and Play Rules.
2. Booking confirmation
A party or hire booking is only confirmed once:
-
the required deposit has been paid; and
-
you have received confirmation from Party & Play.
We reserve the right to refuse or cancel any provisional booking until payment has been received.
3. Deposit
A 30% deposit is required at the time of booking for all birthday parties, exclusive hire bookings, and event hire bookings, unless otherwise agreed by us in writing.
This deposit secures your booking, reserves the date and time slot, and covers administration and planning costs.
4. Deposit refund policy
The 30% deposit is non-refundable if the customer cancels the booking.
The deposit will only be refunded if Party & Play is unable to open and operate on the booked date, meaning we cannot provide the booked party or hire service on that day.
If we are unable to open, we may also offer an alternative date, but if no suitable alternative is agreed, the deposit paid for that affected booking will be refunded.
5. Final balance
The remaining balance must be paid by the deadline stated in your booking confirmation or on arrival, depending on the booking type.
If the balance is not paid when due, we reserve the right to cancel the booking and retain the deposit.
6. Changes to bookings
Any request to change the date, time, package, guest numbers, or other party details is subject to availability and must be agreed by Party & Play.
We are not obliged to accept changes once a booking has been confirmed.
7. Customer cancellations
If you cancel your booking, the 30% deposit will not be refunded.
Any additional sums already paid beyond the deposit will be considered in line with the notice given, costs already incurred, and whether the booking slot can be reallocated.
8. Late arrival
Bookings must start and finish within the booked time slot.
If you or your guests arrive late, your party or hire may still need to finish at the original booked end time. We are not obliged to extend the booking.
9. Guest numbers
You must provide final guest numbers by the deadline we state. Charges may apply based on confirmed numbers, minimum package requirements, or actual attendance, depending on the booking terms.
10. Food and dietary information
If party food is included, it is the booking organiser’s responsibility to inform us in advance of any allergies, intolerances, or dietary requirements.
We may not be able to accommodate late changes.

11. Outside food, drink and suppliers
No outside food, drink, cake suppliers, entertainers, decorators, or other third-party suppliers may be brought into the venue unless we have agreed in writing in advance.
Any approved third-party supplier must comply with our safety and operational requirements.
12. Supervision and behaviour
The party organiser and attending adults remain responsible for supervising children at all times.
All guests must follow our Play Rules, safety signs, and staff instructions.
Unsafe, disruptive, abusive, or inappropriate behaviour may result in the party being stopped or guests being asked to leave without refund where reasonable.
13. Damage and cleaning
The booking organiser is responsible for any deliberate, reckless, or negligent damage caused by members of their group.
We reserve the right to charge the reasonable cost of repair, replacement, or additional cleaning where necessary.
14. Our right to cancel
We may cancel a booking where:
-
payment is not made as required;
-
false or incomplete booking information is provided;
-
safety requirements are not accepted;
-
the venue cannot safely or lawfully operate; or
-
circumstances beyond our reasonable control prevent us from providing the booking.
Where we cancel because we cannot open or cannot provide the booked service, we will refund sums due for the affected booking unless a suitable alternative date is agreed.
